THE CLIENT NEED
A full-service contract research organization headquartered in Dallas, Texas, Total Clinical Trial Management (TCTM), was eager to enhance its delivery model and quickly respond to its clients’ clinical trial strategy needs. As a company that is committed to seamless partnering and innovative, creative approaches to problem-solving, TCTM desired to update their systems used by their project management team. The company began looking for an electronic clinical trial management solution (CTMS) that could be seamlessly integrated with other enterprise solutions, including electronic data capture (EDC) platforms and accounting systems.
TCTM’s main goals were to streamline the reporting of data in one system across multiple trials, calculate payments for sites and investigators, and make payments more timely. To achieve these goals, the company began planning to implement a flexible CTMS solution.
Over the course of a year, TCTM reviewed nearly ten CTMS vendors and solutions, before ultimately selecting ArisGlobal’s cloud-based LifeSphere® CTMS (formerly known as agClinical™) solution.
“We needed a partner that would be attentive to our specific needs and concerns, and would ensure our voices were heard, and we found that in ArisGlobal,” said Paige Queen, Senior Director of Clinical Operations for TCTM. “Furthermore, after careful analysis of several CTMS solutions we concluded the overall functionality of LifeSphere CTMS better met our needs than other similar solutions.”
Key differentiators in the decision to select LifeSphere CTMS included the solution’s investigator database component, monitoring module, payment module, and eTMF. Its multi-tenancy, open architecture that streamlines the ability to integrate with other solutions, and ArisGlobal’s flexible pricing model were other key factors in TCTM’s final decision.
Before implementation, ArisGlobal worked collaboratively with TCTM to identify specific needs and ensure the solution was configured to their requirements.

THE RESULTS
Since deployment, TCTM has been able to gain significant efficiencies and improve how it manages activities such as site selections, conducting and reporting of monitoring visits and calculating site payments.
For example, monitor visit reporting has also been simplified and improved, allowing TCTM to quickly run a standard report to display the results of these visits, and provide their sponsors with the required information and visit metrics.
“LifeSphere CTMS also gives TCTM sites a snapshot of the patient enrollment and CRF status, thanks to an integration with the company’s EDC platform,” said Sumit Asija, ArisGlobal Client Partner. “This removes time-consuming steps of requiring monitors to re-enter the data from the EDC into the CTMS solution.”
Another important outcome from implementing LifeSphere CTMS has been simplifying the site payment process due to integration with the EDC solution. This has enabled TCTM to save time setting up contracts securely. Eliminating manual payment calculations ensures accurate, trusted payments that can be triggered automatically. “The difference is significant in terms of efficiency; this can now be achieved in an hour,” said Aaron Berg, Vice President of Finance at TCTM.
